Live CART captions with TranscriBot

Configure the meeting once and display speech as captions inside Teams while Transcriwise records and transcribes the conversation.

The visuals follow the new Teams calendar. Labels and the Save button may differ in the classic calendar.

Before you begin
  • You must be the meeting organizer to generate the CART link.
  • Use a new CART URL for each meeting. The address contains a private credential.
  • Select a realtime provider in TranscriBot; post-meeting modes cannot send captions during the call.

Open meeting options

Open the meeting in the Teams calendar and select Meeting options.

The organizer must complete this setting before starting TranscriBot.

The meeting must allow CART captions.

Enable CART captions

Under Accessibility, enable Provide CART captions and apply your changes.

Use Apply in the new calendar. The classic calendar may show Save instead.

Copy the CART URL

Close and reopen meeting options. Under Accessibility > Provide CART captions, select Copy link.

Teams generates the CART link for that meeting. If it is replaced, update it in Transcriwise.

After applying, reopen meeting options and select Copy link.

Configure Transcriwise

Paste the meeting link and CART URL when starting TranscriBot, or save them on the synced calendar event.

Enable Meeting captions in the manual flow or use the captions icon on the synced event.

Use this for a one-off meeting or one that has already started.

In Calendar, the setting is linked only to the selected event.

Admit the bot and show captions

Admit TranscriBot from the lobby. In Teams, open More actions > Turn on live captions.

Each participant controls caption visibility in their own window.

After admitting the bot, each participant enables caption display.

If captions do not appear

  1. 1Confirm that TranscriBot was admitted and is still in the meeting.
  2. 2Ask each participant to select More actions > Turn on live captions in their own Teams window.
  3. 3If the URL is invalid or expired, generate another one in meeting options and update Transcriwise.
  4. 4Without a valid CART URL, transcription may continue in Transcriwise but will not appear inside Teams.
  5. 5If Provide CART captions is unavailable, the Microsoft 365 admin must allow CART in the meeting policy.
Lobby timeout

Admit TranscriBot as soon as it joins. If it remains waiting for too long, capture may end and must be started again.

Do not publish or share the CART URL in open messages.

Account & Access

How do I create my account?
Go to /register, fill in your details, and confirm your email. Then choose how to pay: per document, one-off credits or a monthly plan at /pricing.
Can I use my corporate email?
Yes. We recommend corporate email to simplify workspace and permission management.
How do I change my password?
In account settings, go to "Security" and click "Change password".

Transcription

What audio formats are supported?
MP3, WAV, M4A, MP4, WEBM, OGG, FLAC, and 20+ formats. Large files are supported (several hours of audio/video).
How long does a transcription take?
Depends on the provider: Whisper Turbo processes ~10x real time. AssemblyAI and ElevenLabs process in near-realtime.
Can I transcribe in other languages?
Yes. The platform supports 99+ languages. The Multi-ASR engine automatically selects the best provider for each language.
How does live transcription work?
Connect a microphone or the TranscriBot and see text appear in real time with speaker identification.

AI & Features

How does AI Chat work?
After transcription, open the chat and ask questions in natural language. The AI responds with direct quotes from the audio.
Are summaries customizable?
Yes. You can choose between templates (hearing, meeting, lecture) or create custom prompts.
Does translation preserve timestamps?
Yes. Translation preserves timestamps and speaker identification. SRT/VTT export available.

Integrations

How do I connect Zoom/Google Meet?
Connect your calendar in settings. The TranscriBot will automatically join scheduled meetings.
Can I export to Notion/Google Drive?
Yes. Set up the integration in settings and define automatic post-transcription export.

Plans & Billing

What is the difference between plans?
Starter (light use), Pro (more volume + advanced AI), Business (teams + API + compliance). Per-document payment and one-off credits are also available without a subscription. See /pricing.
Do credits expire?
Monthly plan credits renew each cycle. One-time credits do not expire.
Can I cancel at any time?
Yes. Cancellation is immediate and you keep access until the end of the paid period.

Security

Is my data secure?
Yes. AES-256 encryption at rest, TLS in transit, access controls, and LGPD-oriented processes.
Where is data stored?
In infrastructure in the configured region. Data residency option for the Enterprise plan.
Does the AI train on my data?
Training is disabled by default. Any use requires explicit opt-in and can be blocked by workspace policy.
